Missed calls are a silent leak: they never show up on an invoice, but each one may be a customer who booked somewhere else. Before looking for solutions, measure.
Step 0: measure how many calls you miss
For a week or two, note down every day the missed calls in your call log and what time they came in. You'll be surprised by the patterns: lunchtime, first thing in the morning, Saturdays, after hours.
1. Publish your call hours
Show on Google, on your website and on social media when it's best to call. It reduces calls at impossible moments, but doesn't eliminate them.
2. Return calls in batches
Set aside two slots a day to return calls. It works if volume is low; with high volume, they pile up.
3. Voicemail with a good greeting
Better than nothing, but many people don't leave a message. Find out why in smart answering machine.
4. Online booking
A booking page takes pressure off the phone, especially with younger customers. Even so, many customers still prefer to call.
5. WhatsApp Business with quick replies
Useful for written enquiries. It doesn't solve voice calls.
6. Forward to another team member
Forward to a colleague's mobile when you can't answer. It works if that person is free, which in small businesses rarely happens.
7. Virtual PBX
Distributes calls between extensions. Useful for large teams; if nobody is free, the call is lost anyway. See the comparison with a virtual PBX.
8. Outsourced answering service
People who answer for you from a call centre. Human service, but a high cost per call and limited hours depending on the plan.
9. AI virtual receptionist
Always answers, handles several calls at once, books and takes messages, and passes on what matters. For businesses with medium call volume, it's the option that recovers the most calls for its cost. More in AI virtual receptionist.
How to combine them
A common combination for service businesses: online booking for people who prefer to type, an AI receptionist for every call you can't take, and transfer to your mobile for emergencies or complaints.
