Smart answering machine: why voicemail is no longer enough

What a smart answering machine is, how it differs from voicemail and when it's worth moving up to an AI receptionist.

Voicemail has a problem we all know: lots of people hang up when they hear the beep. And anyone who does leave a message expects a call back, which on a busy day gets pushed to tomorrow. A smart answering machine changes the approach: instead of recording, it holds a conversation.

Voicemail, menu-based answering and AI answering

  • Classic voicemail: plays a greeting and records a message. You listen to it and call back.
  • Menu-based answering (IVR): "press 1 for opening hours, 2 for appointments". It gives fixed information and routes calls, but can't understand open-ended requests.
  • Smart AI answering: understands what the customer says in their own words, answers, and can book, take complete messages or transfer the call.

What your business gains

  1. Fewer missed calls: the customer doesn't hang up because someone (even an AI) is looking after them.
  2. Fewer call-backs: many requests are resolved during the call itself.
  3. Better information: instead of a 20-second audio clip, you get a summary with the name, reason and next step.
  4. A professional image: immediate service at any hour.

What to keep in mind

  • Transparency: the assistant must identify itself as an AI from the start.
  • Clear limits: define what it must not say (fixed prices, diagnoses, promises).
  • Cost per minute: unlike voicemail, an AI answering service uses conversation minutes. Work out your volume.

How to switch it on without changing your number

The simplest way is conditional call forwarding: calls ring on your mobile and, if you don't answer, are busy or have no signal, they go to the assistant. The codes are explained in our guide to call forwarding on Movistar, Vodafone and Orange.

When is voicemail enough?

If you get very few calls and almost none are from potential customers, voicemail may be enough. If every missed call is an appointment, a quote or a booking, take a look at our comparison with an answering machine.

Frequently asked questions

Does a smart answering machine record my calls?

It records and transcribes them so you can review them, always informing the caller. You can set how long they're kept.

Can I use it only when I don't answer?

Yes. With "forward if unanswered", your calls ring on your mobile first and only go to the assistant if you don't pick up.
